Privacy Policy
How SwiftSync collects, uses, stores, shares, protects, and deletes personal and sensitive user data.
SwiftSync Technologies ("SwiftSync", "we", "our", or "us") provides the SwiftSync AI Acoustic & Monitoring website, Android application, Windows application, cloud platform, and related services (collectively, the "Services"). This Privacy Policy explains our handling of information when you access or use the Services.
The Privacy Policy is provided for transparency and acknowledgement. Consent for optional or sensitive processing is requested separately where required. If you do not agree with this Policy, do not use the Services.
1. Who We Are
SwiftSync Technologies develops acoustic engineering, swiftlet-farm management, mapping, environmental analysis, audio processing, AI assistance, reporting, cloud synchronisation, and monitoring tools for the swiftlet farming industry.

2. Scope
This Policy applies to information processed through the SwiftSync website, account system, Android application, Windows application, cloud services, AI functions, audio functions, mapping tools, farm records, support channels, and synchronisation services. Third-party websites and services have separate privacy practices.
3. Information We Collect
3.1 Account and authentication information
When you create or access an account through Firebase Authentication or an available OAuth provider, we receive information needed to identify and secure the account. SwiftSync does not receive or store the password used with a third-party OAuth provider.

- Profile image, if supplied by the authentication provider
- Firebase user identifier and authentication provider
- Login timestamps, account status, security events, and session information
- Country and profile information that you choose to provide
3.2 Farm and operational information
- Farm name, farm coordinates, address description, floors, dimensions, rooms, and map markers
- Nest counts, occupancy, harvest records, production records, and monitoring history
- Equipment, amplifier, tweeter, sensor, maintenance, and configuration records
- Temperature, humidity, sound pressure, weather, environmental, and other farm measurements
- Reports, notes, incident markers, and files submitted through supported functions
3.3 Audio and acoustic information
- Audio selected from the device or recorded through the microphone
- Uploaded sound files and cloud backups
- Waveforms, frequency measurements, sound-analysis results, editing settings, and presets
- SPL, RT60, phase, noise, clipping, and other acoustic measurements
- Export, download, sharing, and synchronisation records
3.4 Images and camera information
When you choose an image or use a supported camera function, we process the selected image and related metadata to provide the requested nest, farm, equipment, or visual analysis. We do not activate the camera without permission and a user action.
3.5 Location, mapping, weather, and environmental information
When you use Farm Mapping or Location Intelligence, we process the farm position, coordinates, selected map points, distance measurements, compass direction, nearby environmental features, incident markers, and related weather requests. SwiftSync requests location access in connection with the selected function. SwiftSync does not collect location while the application is closed unless a future background-location function receives a separate disclosure and permission.
3.6 AI information
- Questions and instructions submitted to the AI Consultant
- Farm, audio, image, location, equipment, environmental, or report information intentionally included in an AI request
- AI responses, report results, feedback, and reported responses
- Technical records needed to deliver, secure, troubleshoot, and improve the requested AI service
3.7 Device, diagnostic, and usage information
- Device type, operating system, app version, browser type, IP address, language, and time zone
- Device or installation identifiers supplied by active platform services or SDKs
- Crash reports, error logs, performance records, network status, and security signals
- Features accessed, settings, synchronisation history, and service-interaction records
3.8 Website contact and cookie information
When you submit a consultation or support request, we process the information entered in the form. The website also uses essential cookies and, according to your selection, preference or analytics technologies described in the Cookies Policy.
3.9 Subscription information
Paid subscriptions are not active as of the effective date. SwiftSync does not collect payment-card information through the current service. Before paid subscriptions launch, this Policy and the Google Play Data Safety form will be updated to identify the payment processor, billing data, purpose, and retention practices.
4. How We Use Information
- Create, authenticate, secure, and manage user accounts

- Process user-selected audio, images, coordinates, measurements, and AI requests
- Store cloud backups and synchronise authorised devices
- Generate requested analyses, reports, presets, and recommendations
- Provide support, service notices, security alerts, and account communications
- Detect misuse, fraud, malware, unauthorised access, and policy violations
- Maintain, troubleshoot, test, and improve service reliability and user experience
- Comply with legal duties and protect users, SwiftSync, and the public
5. AI Processing and Model Training
SwiftSync processes information submitted to AI functions only for delivering, securing, troubleshooting, and improving the requested service. AI providers may process the submitted material as service providers under their applicable enterprise or API terms. SwiftSync does not use identifiable farm data, private audio, private images, or private AI conversations to train general-purpose AI models without separate, informed permission.
AI output may contain mistakes. Users must verify AI analysis before relying on it for farm construction, equipment, harvest, financial, safety, biological, or operational decisions.
6. Permissions and User Choice
SwiftSync requests microphone, camera, file, notification, or location access only when related to a visible function. The app presents a feature-specific explanation before requesting sensitive Android permissions where required. Refusing an optional permission prevents the related function from operating but should not block unrelated functions.

7. Data Sharing and Service Providers
SwiftSync does not sell or rent personal information. We disclose information only as needed to provide the Services, follow user instructions, protect security, comply with law, or complete a legitimate corporate transaction.
Active provider categories may include Firebase Authentication and Firebase cloud services, Vercel hosting, the AI provider configured for a requested AI function, mapping and weather providers, email or support providers, and crash-reporting or analytics providers included in the production application. Each production provider and SDK must be reflected accurately in the Google Play Data Safety declaration. Providers receive only information reasonably needed for their assigned service and operate under their own legal terms and contractual duties.
8. User Content, Ownership, and Sharing
Users retain ownership of their audio, images, farm records, reports, and other content. A user grants SwiftSync a limited, non-exclusive, worldwide, royalty-free licence to host, store, process, analyse, transmit, back up, display, and return that content only as needed to provide, secure, maintain, and troubleshoot the Services. The user must hold the rights and permissions required for every submitted file.
When a user intentionally shares content through a supported sharing function, SwiftSync processes the content and recipient information to complete that request. Users remain responsible for choosing the correct recipient and protecting confidential farm information.
9. International Data Transfers
SwiftSync may transfer personal data outside Singapore through contracted cloud, authentication, AI, mapping, weather, support, and infrastructure providers. SwiftSync takes appropriate steps to ensure that overseas recipients provide a standard of protection comparable to the protection required under Singapore's Personal Data Protection Act 2012. These steps may include contractual obligations, provider assessments, access restrictions, encryption, security controls, and transfer documentation.
10. Data Retention
- Account and active-service information: retained while the account remains active and as needed to provide the Services
- Farm records, audio, images, AI history, and cloud backups: retained until deleted by the user, expiry of the applicable storage function, or account deletion, subject to stated backup periods
- Security and diagnostic logs: normally retained for up to 12 months unless investigation or legal needs require longer
- Support and complaint records: normally retained for up to 24 months after resolution
- Deleted active account data: targeted for deletion or irreversible anonymisation within 30 days after verification
- Residual encrypted backups: targeted to expire within 90 days after active deletion
- Records required for law, fraud prevention, security, dispute resolution, or enforcement: retained only for the period reasonably required for that purpose
11. Account and Data Deletion
Users may start account deletion through Settings > Account > Delete Account. Users without app access may use https://swiftsync.tech/account-deletion or contact privacy@swiftsync.tech. Account deletion includes associated eligible account data and is not satisfied by temporary deactivation. SwiftSync may retain limited records where law, security, fraud prevention, dispute, or accounting duties require retention. Details appear in the Account and Data Deletion Policy.
12. Security
SwiftSync uses reasonable administrative, technical, and organisational safeguards, including access controls, secure authentication, encrypted network communications, monitoring, backups, and provider security controls where appropriate. No electronic system is risk-free. Users must protect their devices, accounts, exported files, and sharing choices.
13. Your Privacy Rights
Subject to applicable law, users may request access, correction, a copy, deletion, restriction, or withdrawal of consent. Submit requests to privacy@swiftsync.tech. SwiftSync may verify identity before acting on a request.
SwiftSync will respond to access and correction requests as soon as reasonably possible. If SwiftSync cannot respond within 30 calendar days, SwiftSync will inform the requester in writing of the expected response time. A reasonable fee may apply to an access request where permitted by law. SwiftSync will provide a written estimate before processing a request involving a fee.
Users may withdraw consent by giving reasonable notice through privacy@swiftsync.tech. Before completing the withdrawal, SwiftSync will explain the likely consequences. Withdrawal does not affect personal data processed before withdrawal. Functions requiring the affected information will stop after withdrawal.
14. Children
The Services are intended for adults who are at least 18 years old or the age of legal majority in their jurisdiction. SwiftSync does not knowingly provide accounts to children or knowingly collect children's personal information. Verified child data will be deleted as required by law.
15. Personal Data Breaches
SwiftSync assesses suspected personal-data breaches and takes reasonable steps to contain, investigate, and remediate them. Where a breach is notifiable under Singapore's Personal Data Protection Act 2012, SwiftSync will notify the Personal Data Protection Commission and affected individuals within the required periods.
16. Changes to This Policy
SwiftSync may update this Policy when the Services, providers, legal duties, or data practices change. Material changes will receive reasonable notice through the website, application, email, or another appropriate channel before taking effect where required. The effective date shown above identifies the current version.
17. Contact and Complaints
Privacy questions, rights requests, and complaints should be sent to privacy@swiftsync.tech. General support requests should be sent to support@swiftsync.tech. SwiftSync Technologies is the service operator based in Singapore and will respond according to applicable data-protection requirements.
18. Google Play Transparency
SwiftSync maintains a Google Play Data Safety declaration for the Android application. The declaration must match the data handling of every active release, region, feature, API, library, and SDK. SwiftSync reviews the declaration and this Policy whenever production data handling changes.
